Export Coordinator

As an Export Coordinator, you will be responsible for the operational and administrative support of the international export process for ARMA and STUDIO AR. You will act as the central point of contact between international sales agents, customers and our internal teams, ensuring the smooth and accurate follow-up of the entire sales process – from order processing and customer communication through to delivery, payment and after-sales.

Responsabilities

• Maintain daily contact with international sales agents and customers regarding ongoing orders, deliveries, stock availability, payments and other operational matters.     
• Prepare, check and send order confirmations, ensuring all orders are processed accurately and efficiently.
• Monitor the progress of orders throughout the entire order-to-delivery process, identifying and following up on any discrepancies, delays or issues.
• Manage accounts receivable by monitoring payment status and following up on outstanding payments.
• Track deposits and outstanding balances and release orders for delivery once payment requirements have been met.
• Handle customer complaints, returns and other operational issues, ensuring these are resolved efficiently and professionally.
• Identify and evaluate discrepancies, challenges and performance after each sales season, and use these insights to improve future processes.
• Process, maintain and structure sales data by customer, sales agent, market and/or
collection.

Requirements

• Bachelor’s degree or equivalent level of education.
• 1–3 years of experience in a similar back-office, order management or customer service role.
• You are accurate, proactive and have a hands-on mentality.
• You are service-oriented, decisive and able to perform well in a fast-paced and dynamic environment.
• Strong communication skills and the ability to remain calm and effective under pressure.
• Excellent command of English, both written and spoken.
• Strong Excel skills; experience with an ERP system is a plus (e.g. Microsoft Dynamics 365 Business Central, SAP or a similar system).
• Experience in wholesale is a plus.
